Position: Records Specialist
Location: Calgary
TAB is a Records Management, Filing Systems Solutions Leader; designing and implementing system solutions that help our clients organize, access and manage their business critical documents. We are Sales & Distribution Company as well as a Manufacturing Operation.
We have an opening for a Records Specialist in Outsourcing.
Requirements:
- 2 year diploma with 7 to 10 years related records experience in specific aspects of the oil and gas industry
- Thorough understanding of the client’s specific business processes (e.g. Land, Geology/Geophysical, etc.)
- Thorough understanding of records and information management
- Implement classification systems and recognize how materials are incorporated into the classification system
- Prioritization of work priorities according to business needs
- Ability to meet critical deadlines in a stressful environment
- Strong written/verbal skills
- Strong computer skills
- Proven ability to multitask
- Demonstrated analytical, communication, interpersonal, time management and organization skills
- Proven team player in a customer focused environment
- Ability to analyze and recommend process improvements
- Proven ability to handle confidential materials
- Demonstrated team leadership skills
- Self-started and must be able to work with minimal supervision
- Must be able to interpret instructions clearly and be deadline oriented.
Responsibilities:
- Ensure client requests are handled professionally and in a timely manner.
- Maintain files and database according to File Room procedures.
- Communicate with team and Team Leader on any procedural changes.
- Give written monthly report to Team Lead on File Room activities.
- Support team members by being cross-trained for their positions.
- Signing in and out files in LiveLink
- Client interface and ongoing search requests, both active and inactive
- Creating files in LiveLink
- Scanning surface documentation into LiveLink
- Validating surface filing into LiveLink
- Printing labels
- Interfiling in all areas (mineral, contract, surface)
- Creating Closing Books in Contract Registry in LiveLink
- Retrieving boxes from offsite storage for cancelled files
- Filing in boxes from offsite storage
- Training Intermediate and Senior Technicians
- Training LandJV staff in LiveLink
- Verify all files related to areas that are requested for divestments
- Understand A&D process and liaise with closers
- Write, revise and maintain procedures for the land, mineral land and surface lease files
